SmartVantage — Our AI-powered operating audit

Most AI diagnostics are theoretical because they rely on workshops that may not reflect your company's real operating environment. SmartVantage brings together your company's real strategic, commercial and operating contexts (e.g. stakeholder interviews, your strategy and operating documents, and actual data on the tools, documents, databases, and workflows your team works through). Through AI-powered sense-making, we identify your top AI opportunities, then prioritize the two or three with the highest return and shortest build time.

Tender agent that drafts BQ pricing and methodology in 5 days
    Priority 4.5 ROI 5/5 6 hrs/wk extraction · org

Today: David assembles methodology in Word while Priya prices the BQ in Excel. Full cycle: 12 days. Team handles 2 active tenders at a time, limiting pursuit to 3-4 per quarter.

Proposed: A tender-prep agent reads the GeBIZ tender PDF, extracts the BQ, auto-prices line items from historical rates, and drafts a methodology section from a template library. Target: 5-day turnaround, 6 tenders per quarter.

Variation-order agent that prices Site Instructions in 5 days
    Priority 4.3 ROI 5/5 5 hrs/wk drafting · function

Today: Priya manually prices each Site Instruction against the BQ and assembles backup documentation. Average SI-to-VO: 18 days versus the 7-day client expectation. $1.8M per year in work is done but not claimed on time.

Proposed: An agent reads the SI, matches affected BQ line items, drafts a priced VO with the backup package, and hands it to Priya for review. Target: SI-to-VO in 5 days.

RFI agent that drafts cited responses in 48 hours
    Priority 4.2 ROI 4/5 4 hrs/wk retrieval · function

Today: Ahmad searches Procore and Aconex, cross-references against AutoCAD, and drafts a response in Word. Average turnaround: 14 days. JTC's consultant flagged this as "unacceptable" in a project review, risking the $20M framework renewal.

Proposed: A retrieval agent indexes the full Aconex and Procore document register, identifies relevant drawings and specification clauses for an RFI query, and drafts a response citing document references. Target: 48-hour turnaround.

5 functions tracked across 5 people with 230h 21m of active time captured.
    Focus profile: 33% deep-work, 38% fragmented sessions.
    Time mix: 222h 59m work, 7h 22m meetings (3% coordination load).
    Active projects: T32 MRT Depot (25h 40m), AMK Hub Extension (17h 47m), GeBIZ Tenders (8h 3m).
Cross-function traffic: 12 function-to-function channels observed, heaviest between Project Management and Site Engineering.
6 org-level and 4 function-level opportunities surfaced, grounded in measured metrics.

    The deliverable

    What you walk away with.

    1. 1

An interactive topology of how work actually flows.

Every person, every tool, every document, every handoff, grounded in observed telemetry rather than self-reported workflows.

    2. 2

A priority-ranked list of AI opportunities.

Each opportunity carries an ROI score, a feasibility score, and an hours-saved estimate grounded in the telemetry.

    3. 3

A 90-day implementation sketch for the top pick.

Four concrete steps from pilot data through to production deployment, with the systems and people involved named. Your engineering or ops team can pick it up from there, or you can take the Build Sprint offer.

    Data handling

What we capture, and what we don't.

The audit runs on a lightweight telemetry agent that watches window transitions and browser URLs. It does not read content.

    What we capture

    • Foreground application and window title, one row per transition
    • Idle transitions and sleep gaps, so time away from the desk is not misattributed
    • Browser URL and navigation type, excluding incognito and internal browser pages
    • Calendar and email metadata: subject lines, participants, timestamps

    What we don't

    • No keystrokes, no screen recording, no screenshots
    • No email or document bodies, only metadata
    • No file contents, ever
    • Raw telemetry stays on the capture machine until your team shares it, and is deleted on request

Bring a process that is taking more of your team's time than it should. We will tell you honestly whether AI can help.
